Use a File Data Retention Period to Automatically Delete Older File Data

One option to manage the size of an audience (and to reduce costs if you're using the Records Under Management billing metric) is to have file data deleted from the audience automatically once that data reaches a certain age. Once file data has been automatically deleted, all of the records from that file are removed from all segments they were in (unless those records also exist in a newer file).

By automatically deleting older file data, you can make sure that you have only fresh data in the segments in that audience. Deleting older files can also help ensure that the audience doesn't exceed our recommended limits, which can improve processing times.

Note

Although the Files page shows the files that have been uploaded to your account to represent the data contained in those files, the actual files themselves (and any associated PII) are deleted 30 days after ingestion. For more information, see “LiveRamp Data Security Overview”.

To automatically delete older file data in an ingestion audience, LiveRamp implements a file data retention period (formerly known as an "import recency filter") on new audiences to check the age of file data and delete the data once 365 days have passed since that data was ingested

You can also choose to manage an audience's size by deleting files manually (for more information, see "Delete a File from an Audience").

If you want to adjust the time period for automatic file deletion for a new audience from the default of 365 days, you can include this information when you create a support case for the initial file upload. For more information, see "Considerations When Uploading the First File to an Audience".

To enable the automatic deletion of older files in an existing ingestion audience that does not have a file data retention period, create a support case that includes the following information:

  • The name and ID of the audience you want the automatic file data deletions to apply to

  • The number of days to be used for when file data should be deleted (this can be any value between 30 days and 365 days)

    Note

    We recommend you begin with a longer window because once implemented, we are unable to reinstate the records that have been removed and you would be required to reupload your data to recover it.

For an existing audience, once this automatic file data deletion is enabled, it might take a few days for the automatic deletions to take effect. Files that have had their data deleted will appear on the Files page with an ingestion status of "Canceled".
